Office Coordinator

The ideal candidate for the role must be highly energetic and organized with a developed sense of time management. They must also possess the ability to effectively multi-task, be flexible, a team player, resourceful, diligent and possess good judgment and tact. We are looking for a person that takes on responsibility, when both big and small tasks need to be done.


  • Greet all guests, clients, and employees who enter the office in a warm and friendly manner  
  • Be the "face" and culture ambassador of Saggezza
  • Coordinating travel particularly of those flying into Chicago
  • Point person for mailing/shipping supplies and equipment as well as sorting/distributing internal mail
  • Interaction with our Global Offices via phone, email, teleconference
  • Interact with management
  • Answering, screening and forwarding incoming calls
  • Create and update reports
  • Order/restock office/kitchen supplies as needed
  • Ensure office is organized/clean                                                                      
  • Office management/point person for building
  • Schedule/set up new employee badges and adding guest/visitors to security system
  • Participate actively in the planning and execution of company events as well as in office activities
  • Other operational administrative duties as assigned
  • Consistently ensures the team provides clients with attentive, courteous and informative service  



  • Strong customer service skills and experience
  • Extremely strong MS Office experience, including Word, Excel, PowerPoint, and Outlook
  • Reads, write and speaks fluent English, using appropriate grammar, style and vocabulary
  • Demonstrates exceptionally strong written and verbal communication skills
  • Organizational ability, demonstrates a systematic approach in carrying out assignments
  • Problem solving skills - Demonstrates a strong ability to identify, analyze and solve problems
  • Independence, able and willing to perform tasks and duties without supervision
  • Ability to work independently as well as part of a team
  • Attention to detail, ability to multitask and strong organization skills
  • Gains and shows personal satisfaction from delivering great service
  • Initiative shows willingness and aptitude to use own discretion in taking appropriate steps in finding solutions to problems; presents options and ideas to enhance current processes or procedures
